Speaker Seat Licensing

Studio sponsors can license seats for their speaker bureau. Invite flow, the 30-day grace period, and the migration path.

What Seat Licensing Is

A speaker seat is a Fanflet account you pay for on behalf of someone in your bureau, your KOL roster, or your network of sponsored presenters. You invite a person by email. They accept, set a password, and land in a real speaker dashboard. Their plan is billed to your sponsor account, not theirs.

The seat also creates an active sponsor connection between you and the speaker the moment they accept. You see their published fanflets, attribute blocks to your brand, and pull engagement into your analytics from day one. No separate handshake required.

Plan requirement

Speaker seat licensing is a Sponsor Studio feature. Sponsor Pro and free sponsor accounts see an upgrade prompt on the speakers page. Your Studio plan defines the maximum number of seats you hold at one time.

Seats vs Connections

A connection is for a speaker who already runs a Fanflet account they pay for. You request the connection from the sponsor directory, they accept, and the relationship layer opens up. Read connecting with sponsors for the speaker side of that flow.

A seat is for a speaker who is not on Fanflet, or who you want to onboard under your sponsorship. You provision the account for them, you cover the bill, and the connection comes pre-attached. Use seats when the relationship is sponsor-funded from the start.

Inviting a Speaker to a Seat

Open /sponsor/speakers. The seat meter at the top shows how many seats you have used against your plan limit. Below it sits the invite form.

Enter the speaker's email

Email is required. The address is how the speaker receives the invitation and how Fanflet matches them to the seat after they accept.

Add a name (optional)

The speaker name is prefilled into their profile when the seat is provisioned. They edit it after they sign in if they want a different display name.

Send the invitation

Click invite. Fanflet emails the speaker a sign-up link and the row appears in your Pending Invitations list. The seat counts against your plan limit while the invite is outstanding.

Resend or revoke if needed

Pending invitations expire after 7 days. Use Resend to issue a fresh token and reset the clock, or Revoke to cancel the invite and free the seat.

Only owners and admins

Member-role teammates see the speaker list but the invite form is gated. Owners and admins on your sponsor team are the roles allowed to invite, resend, revoke, or remove a seat.

What the Speaker Sees

The invitation email links to a page branded with your company name and logo. The speaker confirms the invite is for them, sets a password, and accepts. Fanflet creates their auth account, their speaker profile, and the seat record in a single step.

They land on the speaker dashboard already on the plan tier your seat covers. Your sponsor row shows up in their connections list flagged as Managed by sponsor. Their End connection button is disabled because the connection is tied to the seat.

Managing Active Seats

The Active Seats panel lists every seated speaker with their photo, name, email, public link, and counts of published fanflets and assigned campaigns. Click through to their public speaker page to see what their audience sees.

Seats are not transferrable between speakers. To move a seat from one person to another, remove the existing seat and invite the new person on a fresh seat. The released seat opens up immediately for the new invite.

Removing a Seat

Click the remove icon on an active seat row, then confirm. Removal does not delete the speaker. It flips their seat status to revoked and starts a 30-day grace period. During those 30 days the speaker keeps full access to their plan, their fanflets stay live, and your connection remains active.

Once the grace period ends, the seat closes. The speaker keeps their account, their fanflets, their subscriber list, and their analytics history. Their plan tier drops based on the migration choice they made on the migration page.

Irreversible after grace period

Reinstating a closed seat means inviting the speaker on a fresh seat. The historical seat record stays in the revoked list for audit, but the new invite creates a new seat against your current plan limit.

If Your Studio Subscription Ends

When your Sponsor Studio subscription lapses, every seat you hold enters the same 30-day grace period as a manually removed seat. Your seated speakers are notified by email and see a banner on their dashboard pointing to the account migration page.

For the full 30 days they keep the plan tier your seat funded. After the window closes, each speaker is on whatever plan they chose on the migration page. Your sponsor account stays intact at the lower tier you renew on or close out to.

The Account Migration Page

Speakers in a grace period see an Account Migration link on their dashboard. The page lists every revoked seat tied to their account, shows the days remaining, and presents three migration options for each one.

Upgrade to a personal plan. Keep the current plan tier, switch the bill to a personal payment method, retain all data and features.
Continue on the free tier. Keep the account, drop to free-tier limits, upgrade later when ready.
Export and close. Download a CSV of subscribers and a CSV of fanflets, then close out the seat. The speaker exits Fanflet with their data in hand.

The choice is the speaker's, not yours. You see the migration status on each revoked seat in your speakers page so you know whether they stayed on Fanflet, stepped down, or exported and left.

What Transfers if the Speaker Takes Over Billing

A speaker who picks the personal-plan option keeps every asset they built under your seat. Their fanflets stay live at the same public URLs. Their public link stays the same. Their resource library, subscriber list, scan history, and analytics history all carry over.

Your sponsor connection ends when the seat closes, so future scans on their fanflets stop rolling up to your dashboard. Past engagement stays credited to you for historical reporting on both sides.

Reporting on Seated Speakers

Every seated speaker has an active sponsor connection by default. Engagement they generate flows into your dashboard the same way it flows from any other connected speaker. Open your engagement view to see scans, taps, leads, and conversions per speaker.

Leads attributed via the auto-connection land in your sponsor lead inbox tagged with the speaker who captured them. Use the speaker filter on your campaigns and analytics pages to slice by seated speaker, by campaign, or by event.
